VENUS-ONE is an examination-management system used by QTS personnel to plan, record and review railway structure examinations. It is a workforce tool: accounts are created by an administrator, and it is not offered to the general public.
Account details (name, work email address, job role); examination records you create or review (structure details, dates, findings, defect notes); photographs you attach to examinations; and standard technical logs needed to run the service. VENUS-ONE does not track your device's location: map positions shown in the app are the locations of railway structures, not of you.
Data is stored with Supabase (our database and authentication provider) and the application is served by Netlify. A copy of your recent working data is cached on your own device so the app works without signal; signing out or clearing site data removes it.
Map imagery is loaded from OpenStreetMap, Esri, or Google Maps (when enabled). To display a structure's postcode or what3words address, the structure's coordinates (never yours) are sent to postcodes.io and what3words respectively. We do not sell data, serve advertising, or use analytics trackers. Data is used solely to deliver the examination-management service to QTS and its client, Network Rail.
Examination records are retained as required by railway examination obligations. Account data is removed when an administrator deletes the account. To exercise data-protection rights (access, correction, erasure where applicable) contact the address below.

Where VENUS SYSTEMS LTD's customer connects VENUS-ONE to their Xero organisation, VENUS-ONE sends invoice information to Xero on that customer's instruction. What is sent is limited to what an invoice needs: the customer's own Xero contact name, the date and reference, and one line per shift giving the structure identifier, the person who worked it, the date, the hours and the charge. No examination reports, no photographs, and no location data are ever sent to Xero.
Invoices are created as drafts only. Nothing is issued to a client until a person approves it inside Xero.
The credentials used to connect to Xero are held as encrypted secrets on the server and are never present in the browser. They are accessible only to the server function that talks to Xero. Once a connection is no longer required it can be revoked from within Xero, which immediately prevents any further access.
Xero Limited acts as an independent controller of the data once it reaches the customer's Xero organisation. Their handling of it is governed by Xero's own privacy notice.
